PROPOSED POLICIES & RESPONSIBILITIES

Clear responsibilities.
A more personal approach.

Keep the structure simple. Support the people who volunteer. Make the everyday work of our HOA easier to understand.

01 / A SIMPLE STRUCTURE

Owners. Board. Manager.

One community, with clear roles.

  1. 01

    Owners elect
    the board.

Neighbors choose the people who serve on the board and take part in the community’s decisions.

  2. 02

    The board
    makes decisions.

The board approves the budget, policies, and contracts through the HOA’s required process.

  3. 03

    The manager
    carries them out.

itgetsit LLC would be the main management contact, handling approved daily tasks and reporting to the board.

Extra help when it is needed. Bring in vendors and specialists for work that calls for them, within the HOA’s approved scope.

The existing board, officer, and required committee roles stay in place. Proposed services, qualifications, and any required licenses need review before appointment.

02 / THE EVERYDAY BASICS

What good follow-through looks like.

Open a responsibility
01Keep the finances understandable. The approved budget, bookkeeping, and dues.

Carry out the board-approved budget, maintain clear bookkeeping, track assessments and payments, and prepare understandable reports for the board. Spending and collection decisions follow the authority and policies the HOA has approved.

02Look after what we share.Common-area upkeep and clearly defined vendor work.

Coordinate maintenance only for property and services that are the HOA’s responsibility. Put vendor scopes in writing, bring decisions to the board when approval is needed, and follow up on the work.

03Make records easier to follow.Organized information, transparency, and privacy.

Keep association records organized, help the HOA respond to requests through the required process, and explain where owners can find useful information. Protect personal information and records that are not open to disclosure.

04Help the community stay informed.Meetings, required notices, and helpful updates.

Help prepare meetings, agendas, minutes, and required notices under the board’s direction. Optional email and text updates can supplement communication; they do not replace any legally required notice or delivery method.

05Handle rule concerns fairly.Listen, explain, and follow a consistent process.

For a possible rule violation, explain the concern, listen to the resident’s circumstances, and provide a reasonable opportunity to resolve it through the required process. Apply the same standards consistently and preserve required notices, hearings, and board or committee decisions.

06Follow through on residents’ questions.A clear place to ask and a useful next step.

Keep track of questions, explain who can make the decision, and share progress or next steps. Bring matters outside the manager’s approved scope to the board or the appropriate specialist.

03 / HOW WE WOULD WORK TOGETHER

A little clarity.
A lot of listening.

Proposed standards for a more personal management service.

  • A conversation before escalation.

Start with the rule, the concern, and a path to correct it. Hear the resident’s perspective before deciding next steps.

  • Clear expectations. Consistent treatment.

Put expectations in writing and use a fair, consistent process for everyone.

  • Information people can use.

Share clear financial and maintenance updates while respecting residents’ privacy.

OVERDUE ASSESSMENTS / OUR PROPOSED APPROACH

Work hard to keep
liens off the table.

Our goal is to resolve overdue balances early—with clear reminders, a personal conversation, and board-approved payment options where available—so a lien is a last resort, not the starting point.

This approach concerns unpaid assessments. Rule violations follow the separate fair-process approach above.

These proposals have not been adopted. A management change does not waive HOA rights or guarantee that no lien will be filed. The board, governing documents, and applicable law control.

MEET THE NEIGHBOR BEHIND THE PROPOSAL

Proposed management: itgetsit LLC

itgetsit LLC is owned by the campaign organizer, an Emerald Cove homeowner and resident and a veteran of the United States Coast Guard. The organizer has a financial interest in the proposed management role. The proposal is for itgetsit LLC to manage the existing HOA; any appointment and management contract require HOA approval. This demo has not been adopted, and current HOA obligations continue. Signing the current campaign forms does not appoint itgetsit LLC.
